How to Use Bulk Actions in Trainerize Messages

Select multiple conversations and archive, restore, flag for follow-up, or mark as no reply needed — all at once.

Bulk actions let you manage multiple client conversations at once in the Trainerize Messages page. Instead of handling conversations one by one, you can select several clients and archive, restore, follow up, or mark them as no reply needed in a single step.


How to Select Conversations

There are two ways to select conversations in the client sidebar:

  • Hover and click the checkbox — When you hover over any client in the sidebar, a checkbox appears in place of their profile picture. Click it to select that client. Click again to deselect.

  • Select all with a keyboard shortcut — Press Cmd+A (Mac) or Ctrl+A (Windows) to select all visible clients in the current list. Press it again to deselect all.

Selected clients are highlighted in blue. You can mix and match — select a few individually, then use Select All to grab the rest.


The Bulk Actions Toolbar

As soon as you select one or more clients, a blue toolbar appears at the top of the sidebar. It shows:

  • A counter — Displays how many clients are selected out of the total visible (e.g., "5/23 selected").

  • A Select All checkbox — Click it to select all visible clients, or click again to clear the selection.

  • An actions menu — Click the three-dot icon to open the list of available bulk actions.


Available Bulk Actions

The actions available in the menu depend on which view you are currently in.

From the Inbox (default view)

  • Follow Up — Flags all selected conversations for follow-up. These clients will appear under the Follow Up filter so you can come back to them later.

  • Archive — Moves all selected conversations to the Archived section. Archived conversations are hidden from your main inbox but can be restored at any time.

  • Mark As No Reply Needed — Marks the latest unanswered client message in each selected conversation as not needing a reply. This removes those conversations from the "Waiting for Reply" count. Only threads that are genuinely waiting for a coach reply are affected — threads where a coach has already replied are skipped automatically.

From the Follow Up view

  • Remove Follow Up — Removes the follow-up flag from all selected conversations, moving them back to the regular inbox.

  • Archive — Archives the selected conversations.

  • Mark As No Reply Needed — Same behavior as in the inbox view.

From the Archived view

  • Restore to Inbox — Moves all selected archived conversations back into your active inbox.


When to Use Bulk Actions

Bulk actions are especially useful for:

  • End-of-day inbox cleanup — Select all conversations you have already addressed and archive them or mark them as no reply needed.

  • Triaging new messages — Quickly flag a batch of conversations for follow-up so you can work through them systematically.

  • Clearing automated messages — If clients triggered automated replies that do not need a personal response, select them all and mark as no reply needed in one step.

  • Restoring archived conversations — If you archived conversations by mistake, switch to the Archived view, select them, and restore to inbox.


Tips

  • Bulk actions apply to all selected clients, so double-check your selection before confirming.

  • You can combine filters (trainer, smart view, search) with bulk actions. The Select All shortcut only selects clients visible in the current filtered list.

  • After a bulk action completes, the selection is automatically cleared and the list refreshes.
