How to Use Follow Up and Pin in Trainerize Messages

Flag conversations for follow-up and pin important clients to the top of your message list for quick access.

The Trainerize Messages page includes two tools to help you stay organized: Follow Up and Pin. Follow Up lets you flag conversations you need to come back to later, while Pin keeps important clients locked to the top of your list regardless of sort order.


Follow Up

What It Does

Follow Up marks a conversation with an orange flag icon so you know you need to revisit it. Flagged conversations can be filtered into their own view, making it easy to work through a list of clients who need attention without losing track of anyone.

How to Flag a Single Conversation

1. Hover over the client in the sidebar to reveal the three-dot menu on the right side of their name.

2. Click the three-dot menu.

3. Select Follow Up.

4. An orange flag icon will appear next to the client's name confirming the flag is active.

How to Flag Multiple Conversations at Once

1. Hover over a client and click the checkbox that appears over their profile picture, or use Cmd+A (Mac) / Ctrl+A (Windows) to select all visible clients.

2. A bulk action bar appears at the top of the sidebar showing how many clients are selected.

3. Click the three-dot menu in the bulk action bar.

4. Select Follow Up to flag all selected conversations.

How to View All Flagged Conversations

At the top of the sidebar, you will see a Follow Up toggle button with a flag icon and a count badge showing how many clients are currently flagged. Click the toggle to switch it on. The sidebar will filter to show only clients marked for follow up. Click it again to return to the full list.

How to Remove the Follow Up Flag

For a single client: Open the three-dot menu on the client and select Remove Follow Up.

In bulk: Turn on the Follow Up filter, select the clients you want to clear, open the bulk action three-dot menu, and select Remove Follow Up.


Pin

What It Does

Pinning a conversation locks that client to the top of the sidebar list, regardless of the current sort order. A blue pin icon appears next to pinned clients. This is useful for VIP clients or anyone you message frequently and want instant access to.

How to Pin a Conversation

1. Hover over the client in the sidebar to reveal the three-dot menu.

2. Click the three-dot menu.

3. Select Pin.

4. The client immediately moves to the top of the list and a blue pin icon appears next to their name.

How to Unpin a Conversation

1. Open the three-dot menu on the pinned client.

2. Select Unpin.

3. The client returns to their normal position in the sort order.

How Pinned Clients Appear

Pinned clients always float to the top of the sidebar no matter which sort order you use (last activity, waiting for reply, etc.). If you have multiple pinned clients, they are sorted among themselves using the active sort order. All unpinned clients appear below them as usual.


Quick Reference

Follow Up — orange flag icon, three-dot menu or bulk action, filterable via the Follow Up toggle at the top of the sidebar.

Pin — blue pin icon, three-dot menu only, pinned clients always appear at the top of the list.

Both features update instantly and are saved to your account so they persist across sessions and devices.
