How to Send and Receive Voice Messages

Record and send voice messages up to 5 minutes directly from FitMetrics — with pause, resume, playback controls, AI Transcription, and Voice-to-Text dictation.

FitMetrics lets you record and send voice messages directly to your clients through the Trainerize Messages page. Voice messages can be up to 5 minutes long and include pause, resume, and cancel controls so you can get your message just right before sending.


Recording a Voice Message

To start recording a voice message:

  1. Open a client conversation on the Trainerize Messages page.

  2. Click the microphone icon in the message composer toolbar.

  3. If prompted, allow microphone access in your browser.

  4. Recording begins immediately. A timer appears above the controls showing your current recording duration.

Note: If you are not the thread owner (the coach originally assigned to the client), you will be asked to confirm before recording.


Pause and Resume

While recording, you have full control over the session:

  • Pause — Click the pause button (orange) to temporarily stop recording. The timer will pause and display "(Paused)".

  • Resume — Click the play button (green) to continue recording from where you left off.

This is useful when you need a moment to collect your thoughts without starting over.


Maximum Recording Time

Voice messages have a maximum duration of 5 minutes. If you reach the limit, the recording will automatically stop. The recorded audio will still be processed normally and appear as an attachment preview for you to send.


Sending or Cancelling

When you are finished recording:

  • Stop — Click the stop button (red square). The audio is processed, converted to a compatible format, and an attachment preview appears in the message composer. You can then click Send to deliver the voice message to the client.

  • Cancel — Click the X button to discard the recording entirely. Nothing will be sent.

After stopping, you may briefly see the recording being processed. Once complete, it will appear as an attachment preview. Click Send to deliver it.


Listening to Voice Messages

When you receive a voice message from a client (or view one you have sent), it appears as an inline audio player within the conversation. The player includes:

  • Play / Pause — Start or pause playback at any time.

  • Waveform visualization — A visual representation of the audio. Click anywhere on the waveform to seek to a specific point.

  • Playback speed — Toggle between 1x, 1.25x, 1.5x, and 2x speed to listen faster or slower.

  • Duration and progress — The current time and total duration are displayed alongside the waveform.

  • Delivery status — A green "Delivered" indicator confirms the message was received.


AI Transcription

FitMetrics can automatically transcribe voice messages to text using AI. When viewing a received voice message:

  1. Click the "AI Transcribe" button below the audio player.

  2. The voice message will be processed and a text transcript will appear below the player.

  3. Once generated, you can show or hide the transcript at any time by clicking the button again.

  4. Use the "Regenerate" option if you want to re-transcribe the message.

Transcripts are saved automatically and will persist when you return to the conversation later.

Note: AI Transcription is available on the Starter plan and above. Users on the Essential plan will be prompted to upgrade.


Voice to Text (Dictation)

In addition to sending voice messages, FitMetrics offers a Voice to Text feature that converts your speech into a typed message. This is different from a voice message — instead of sending audio, it transcribes what you say and inserts the text into the message composer.

  1. Click the Voice to Text option in the message composer (the keyboard icon, or found in the dropdown menu on smaller screens).

  2. Speak your message. A recording indicator will appear.

  3. When you stop, your speech is transcribed by AI and inserted as text into the message box.

  4. Review and edit the text, then send it as a regular text message.

Note: Voice to Text is available on the Starter plan and above. Users on the Essential plan will be prompted to upgrade.

This feature is great for quickly drafting longer messages without typing.


Troubleshooting

Microphone not working

Make sure your browser has permission to access the microphone. Check your browser's site settings and ensure microphone access is set to "Allow" for FitMetrics.

Voice message shows "Expired"

Voice message URLs can expire over time. If you see an "expired" notice, the audio file is no longer available for playback. Future voice messages will work normally.

"Voice notes not supported on this browser"

Some browsers do not support the audio conversion required for voice messages. If you see this error, try using a different browser (such as Chrome or Edge) or use the Trainerize mobile app to send voice notes.
