How to Use Client Notes and Record Voice Notes

Add notes to any client, record voice notes with automatic AI transcription, attach files, pin important notes, and keep your coaching observations organized.

The Notes tab on the client dashboard lets you write coaching notes, record voice memos with automatic transcription, attach files, and pin important notes to the top.


Where to Find It

  1. Go to Trainerize Clients and open a client

  2. Click the Notes tab in the left sidebar


Adding a Note

  1. Type in the text area at the bottom: "Add a new note for this client..."

  2. Optionally add attachments or record a voice note

  3. Click Add Note

Notes show the creator's name and avatar, plus the date and time. Pinned notes appear at the top.


Recording Voice Notes

Click the Voice button (microphone icon) next to the text area:

  1. Allow microphone access when prompted

  2. Start speaking — a live duration timer shows your recording length

  3. Click Stop when done

  4. The audio is automatically transcribed by AI — the transcript text is added to your note

  5. The audio file is saved as an attachment you can play back later

Click Cancel during recording to discard it.

Tip: Voice notes are great for quickly dictating observations during client reviews — the AI transcription means you never lose what you said.


Attaching Files

Click the Attach button (paperclip icon) to add files to your note:

  • Supported: JPG, PNG, GIF, WebP, PDF, DOC, DOCX, XLS, XLSX

  • Limits: 10MB per file, up to 10 files per note

Images show as thumbnails; documents show with a file type icon. Click any attachment to preview or open it.


Pinning Notes

Click the pin icon on any note to pin it to the top of the list. Pinned notes have an amber left border so they stand out. Any team member can pin or unpin notes.


Editing and Deleting Notes

  • Edit — click the edit button to change the text or add/remove attachments

  • Delete — click the trash icon (confirmation required)

Permissions:

  • Owners and Admins can edit and delete any note

  • Coaches can only edit and delete notes they created themselves


Notes from Form Submissions

When a client submits an AI Form, a note can be automatically created with a link to the submission. These notes show a purple badge with the form name — click it to jump to the full form response.


Compliance Tracker Integration

Notes sync with the Compliance Tracker — new notes appear immediately in the notes column without refreshing. This lets you track coaching observations alongside client compliance data.
