How to Restrict Form Availability with Scheduling (Availability Schedule)

Control when your AI Form can be submitted — set per-day time windows, display a countdown timer, customize closed messages, and optionally allow late submissions.

The Availability Schedule lets you control exactly when an AI Form can be submitted. Set specific days and time windows, and clients who try to access the form outside those hours see a "form closed" message.

This is perfect for weekly check-in forms, time-sensitive assessments, or any form that should only be open during certain hours.


How to Enable It

  1. Go to AI Forms

  2. Open the form you want to configure

  3. Click the Settings icon (gear)

  4. Toggle Availability Schedule ON


Setting the Schedule

Configure each day of the week individually:

  • Enable/Disable days — check or uncheck each day (Mon through Sun). Unchecked days show "Closed".

  • All day — check this to keep the form open for the entire day (midnight to midnight)

  • Time range — when "All day" is unchecked, set a From and To time for when the form is open

Default: When you first enable the schedule, all 7 days are set to 4:00 AM – 6:00 PM.

Timezone: The schedule uses your business timezone (shown next to the toggle). Set your timezone in Settings → Preferences.


What Clients See When the Form Is Closed

When a client tries to access the form outside the scheduled hours, they see:

  • A lock icon

  • The Closed Form Title (default: "This form is currently closed")

  • The Closed Form Message (default: "Please come back during our submission hours.")

  • The next opening time — automatically calculated (e.g., "Opens Wednesday, March 25, 2026 at 4:00 AM")

You can customize both the title and message. Leave them blank to use the defaults. The next opening time is always shown automatically — you don't need to configure it.


Allow Late Submissions

Toggle this ON to show a button that lets clients submit anyway even when the form is closed.

When enabled:

  • The closed screen shows an extra button (default text: "Submit anyway")

  • Clicking it opens the form normally

  • You can customize the button text

Use case: You want to encourage clients to submit during the scheduled window, but don't want to completely block anyone who's running late.

Tip: Late submissions are tagged with an amber "Late" badge on the submissions page. You can use the Late Submission filter (All / On Time / Late) to quickly see which clients submitted on time and which submitted outside the scheduled hours.


Show Closing Countdown

Toggle this ON to display a live countdown timer at the top of the form showing when it closes.

When enabled, clients see a dark banner at the top of the form:

  • "This form closes in 2h 35m remaining"

The countdown updates every second. When it hits zero, the form automatically closes and shows the closed screen.

Countdown formats:

  • More than 24 hours: "2d 5h remaining"

  • Less than 24 hours: "5h 23m remaining"

  • Less than 60 minutes: "23m 45s remaining"

  • Less than 60 seconds: "45s remaining"

Use case: Creates urgency for weekly check-in forms — clients see the deadline approaching and are more likely to complete it on time.


Real-World Setup Examples

Weekly Check-In (Sunday Only)

  • Enable only Sunday

  • Time: 8:00 AM – 11:59 PM

  • Allow late submissions: ON (so Monday stragglers can still submit)

  • Show countdown: ON

Business Hours Only (Mon–Fri)

  • Enable Monday through Friday

  • Disable Saturday and Sunday

  • Time: 9:00 AM – 5:00 PM

  • Closed message: "This form is available during business hours (Mon-Fri, 9am-5pm)."

Always Open (With Countdown)

  • Enable all 7 days, check All day for each

  • Show countdown: ON

  • This creates a form that's always open but shows a countdown to the end of the current window — useful for creating a sense of urgency
