Form Tracking lets you monitor whether clients have completed a specific form — and whether they submitted it on time or late. It lives inside the Compliance Tracker and works alongside your existing compliance data.
This is different from the "Form Responses" feature, which lets you view the answers a client submitted. Form Tracking focuses on completion status — who submitted, who didn't, and who was late.
How to Enable Form Tracking
Go to Compliance Tracker
Find the Form Tracking toggle in the toolbar at the top
Switch it on
Once enabled, a panel of filter options appears below the toggle.
Selecting a Form to Track
Use the Select Form to Track dropdown to choose which form you want to monitor. Only forms created in your business appear here.
When you select a form, the Form Responses feature is also automatically enabled for that same form — so you can see both completion status and view answers in one place.
Completion Filter (Show Clients)
The Show Clients dropdown controls which clients appear in the tracker based on form completion:
All Clients — Shows everyone, regardless of whether they completed the form
Who Completed Form — Only shows clients who have submitted the selected form
Who Didn't Complete Form — Only shows clients who have not submitted the form
This is especially useful for quickly identifying clients who haven't submitted their weekly check-in or any other recurring form.
Week Filter
The Filter by Week dropdown lets you narrow results to a specific week:
All Weeks — Considers submissions across all visible weeks
Week of [date] — Only considers submissions that belong to that specific week
Each week option corresponds to the week columns currently visible in the tracker. The week a submission belongs to is determined by its report week start date — the Monday of the week the form covers.
Show Selected Week Only
When you select a specific week in the week filter, you can also enable the Show selected week only toggle. This hides all other week columns in the tracker so you can focus entirely on the selected week.
This toggle is disabled when the week filter is set to "All Weeks."
Submission Type Filter (Late / On Time)
The Submission Type dropdown filters clients based on whether their submission was late:
All Submissions — Shows all clients regardless of timing
Late Only — Only shows clients whose submission was marked as late
On Time Only — Only shows clients who submitted before the deadline
How Late Submissions Are Determined
A submission is marked as late when a client submits a form after the form's availability window has closed.
Here's how it works:
When you create a form, you can set an availability schedule — specific days and times the form is open for submission
If a client tries to submit after the window closes, they see a "form closed" message
If you've enabled Allow Late Submission on the form, the client sees a button to submit anyway
When they click that button, their submission is automatically flagged as late
Late submissions show a "Late" badge (amber/yellow) when you view the form answers in the tracker.
Multiple Submissions Per Week
If a client submits the same form more than once in the same week, all submissions are stored. When you click to view a client's form answers for a given week:
The most recent submission loads by default
A submission picker appears at the top of the dialog showing all submissions for that week
Each button displays the form name and submission date — click any one to switch between them
Sending Reminders to Non-Completers
When you have Form Tracking enabled with the completion filter set to "Who Didn't Complete Form" and a specific week selected, a Send Reminder button appears. This lets you send a form reminder to all clients who haven't submitted yet for that week.
Form Tracking vs. Form Responses
These are two separate features that work together:

Form Responses | Shows a "View Answers" link in the tracker so you can read what the client wrote |
Form Tracking | Filters your client list by who completed (or didn't complete) a form, with late/on-time filtering and week selection |
When you enable Form Tracking and select a form, Form Responses is automatically turned on for that form too — so you get both completion monitoring and answer viewing in one workflow.
Pro Tip: Combine Form Tracking with Smart Views to monitor completion for specific client groups — for example, track which "High Performance" clients haven't submitted their weekly check-in yet.
