The Submissions page is where you view, manage, and analyze all responses to an AI Form. This guide covers every feature available on the page.
How to Access It
Go to AI Forms
Click on any form
Click View Submissions
Two View Modes
Toggle between views using the buttons at the top:
Table View (default) — spreadsheet-style with one column per form question. Horizontally scrollable. Best for scanning many submissions quickly.
List View — compact rows showing client, email, date, review status, and latest internal note. Best for quick review workflows.
Table View Columns
The table shows these columns:
Client (sticky) — avatar, name (links to client profile), message button (opens chat dock), unmatch button
Submitted — date with optional badges:
Late (amber) — submitted outside the form's availability schedule
Old Link (orange) — submitted using a link from a different week
[Question columns] — one per form question (toggleable, see Column Controls)
AI Summary — click "Summarize" to generate an AI summary of the submission
Reviewed — click the circle to mark as reviewed (shows reviewer name and avatar)
AI Feedback — shows status: Generate, Draft, Scheduled, Sent, or Deleted
Actions — view details, reassign week, delete
Column Controls
Click the Columns button to show/hide individual question columns. Each question has a toggle. You can also freeze columns (pin icon) to keep them visible while scrolling horizontally.

Submission Detail
Click the eye icon on any submission to open the full detail dialog:

All questions and answers in order
File attachments with preview and download
E-signatures displayed inline
Mark as Reviewed toggle
Preview PDF and Download PDF buttons
View & Collaborate — opens a shareable link (new tab)
Internal Notes — add notes with option to share to client's compliance notes
Mark as Reviewed
Click the circle icon on any submission to toggle review status. When reviewed:
A green checkmark appears
The reviewer's name and avatar are shown
You can toggle it back to unreviewed at any time
Use the Review Status filter to quickly find unreviewed submissions.
AI Summary
Click Summarize on any submission to generate an AI-powered summary of the client's responses. The summary appears in the AI Summary column and is also included in CSV exports.
Internal Notes
In the submission detail dialog, add private notes:
Type your note and click Add Note
Toggle "Share with client notes" to also save the note to the client's notes panel (visible in the Compliance Tracker)
Edit or delete notes you created
Loom video URLs are auto-embedded
Notes update in real-time across all team members
Manual Client Matching
Anonymous submissions (no linked client) show a "Match Client" button. Click it to:
Search for the client by name
Select the correct match
The submission is permanently linked to that client
You can also unmatch a client by clicking the X next to their name.
Reassign Week
Submissions marked with an Old Link badge were submitted using a form link from a different week. Click the orange calendar button to reassign the submission to the correct week.
Delete Submission
Click the trash icon on any submission. A confirmation dialog appears — this action cannot be undone.
Pagination
Submissions load 25 per page. Navigation controls appear at the bottom when there are more than 25 results. Filters reset to page 1 automatically.
Coach Visibility
If your business has "Coaches can see all clients" disabled, coaches will only see submissions from their own assigned clients.
