You can customize who the message appears to be sent from when FitMetrics delivers automated AI Check-Ins.

However, it’s important to understand how this affects your unread message notifications.

Below is everything you need to know.

1. Where to Change the Message Sender

To change the sender on any AI Check-In template:

  1. Go to AI → AI Check-Ins

  2. Open the Check-In Schedules tab

  3. Choose a client

  4. Add or edit a template

  5. In the template card, you will see a field labeled Message Sender

  6. Choose the sender you want (AI Assistant, Assigned Coach, or others)

You can freely choose any sender from your workspace.

2. Why We Recommend Keeping the AI Sender

Even though you can choose another sender, we strongly recommend keeping AI Assistant as the default.

Here’s why:

FitMetrics only clears the “Unread Message” / “Waiting for Reply” indicator when a real human replies.

If you change the sender to the assigned coach (or any human):

  • The system will think the coach replied

  • The “waiting for reply” notification will disappear

  • But the coach never actually replied

Example (the exact problem):

  1. A client sends you a message expecting a reply

  2. Later, an AI Check-In goes out using the coach as the sender

  3. FitMetrics thinks the coach answered the client

  4. The notification disappears

  5. You may miss important client messages

This is the main reason we do NOT recommend changing the sender.

Keeping the sender as AI Assistant prevents this issue entirely and keeps your unread-message notifications accurate.

3. How to Bulk Change the Message Sender (for Many Clients at Once)

If you still want to change the sender, you can update multiple clients in one action.

  1. Go to AI → AI Check-Ins → Check-In Schedules

  2. Select multiple clients using the checkboxes

  3. Click Bulk Operations

  4. Select Change Message Sender

  5. Choose which templates you want to modify

  6. Select the new sender

  7. Click Update Settings

This updates all selected clients at once.

4. When Changing the Sender Makes Sense

You may want to change the sender when:

  • You run a program where every message must appear human

  • You have a dedicated coach per client and want consistency

  • You understand and accept the risk of missing unread replies

  • Your team already checks all threads daily (no reliance on notifications)

As long as you're aware of the trade-off, this feature can be used strategically.

5. Summary

  • ✔️ You can change the sender from the template settings

  • ✔️ You can bulk update many clients at once

  • ✔️ AI Sender is recommended to avoid false “replied” statuses

  • ✔️ Using a human sender risks missing real client messages

  • ✔️ Keeping the sender as AI Assistant is the safest, cleanest option
