Before FitMetrics, every client check-in required manual effort. You'd spend 20-30 minutes reviewing data, calculating averages, writing feedback, and sending it over — just to do it all again next week. AI Check-Ins change that completely.
What It Does
AI Check-Ins automate your weekly client communication while keeping it hyper-personalized.
You create templates once using 100+ smart placeholders (macros, weight, habits, WHOOP, Oura, and more)
FitMetrics pulls real-time data from Trainerize and FitMetrics
The AI fills in the data and sends it on your schedule
You still keep the human touch through coaching calls and follow-ups
The result? You save hours per week per coach — and your clients get more frequent, smarter communication.

Not the Same as AI Forms
A common source of confusion: AI Check-Ins and AI Forms are two completely different features.
AI Check-Ins = automated messages sent to your clients (outbound, data-driven)
AI Forms = custom forms your clients fill out (inbound, data collection)
If you created a form called "Weekly Check-In" in AI Forms, that's a questionnaire — not the same as the AI Check-Ins automation system. They can work together, but they're separate features. See the full comparison in AI Check-Ins vs AI Forms — What's the Difference?
Our Proven Strategy (Calendar Breakdown)
We recommend a 4-message check-in system that blends AI automation with human support. Here's how it looks:
Monday — Full Feedback (AI)
Send a full weekly summary using the AI Check-In system.
Recap workouts, macros, habits, and other metrics
Point out wins & challenges
Share next steps, targets, or encouragement
This is the heavy-lifting message and sets the tone for the week.
Tuesday — Human Follow-Up
Have a real coach check in with a quick message:
"Hey #{{client_first_name}}, did you see your check-in from yesterday? Any questions or need help adjusting anything?"
This shows you're present, listening, and creates trust.
Friday — Weekend Feedback (AI)
This AI message calculates Monday–Friday data:
Current calorie/macros average vs. goal
What's remaining for the week
Weekend strategy suggestions
This is critical — weekends are usually where clients slip up (restaurants, events, weddings). This check-in acts like a mid-week checkpoint + guardrail.
Sunday — Call Reminder (AI)
Send an automatic reminder to schedule their coaching call:
"Quick reminder to book your weekly check-in call with us here: [Insert link] — We'll go over your progress and answer any questions."
This keeps coaching high-touch and increases retention.
The Magic Formula: AI + Human = Scalable Coaching
The power of AI Check-Ins is not about replacing your coaching — it's about scaling it.
Let the AI:
Handle the repetitive communication
Track data trends
Deliver timely feedback
Let your coaches:
Focus on what matters — the human connection
Jump on calls
Answer deeper questions
Handle mindset, lifestyle, motivation
This approach creates a premium client experience without burning out your team.

Important Note: AI Check-Ins Cannot Be Sent to Coaches
A common question we get:
"Can the AI scrape all my clients' weekly data and send it to me instead, so I can review it?"
The answer is no — AI Check-Ins can only be sent to clients, not to coaches, not to external emails, and not to yourself.
However, you can preview the AI-generated summary before it sends:
Go to AI Check-Ins → Templates
Choose a template (or create your own)
Click Test
Select any Trainerize client
Click Preview & Edit
Read the full AI summary, then choose to Send or Cancel
This allows you to see exactly what the AI will generate — but the automated message delivery always goes to the assigned client, not to coaches.
