How to Assign Templates to Clients

Assign AI Check-In templates to clients manually or in bulk. Set days, times, or calendar triggers for full automation.

Once you've created and tested your AI Check-In templates, it's time to assign them to clients. You can assign up to 4 check-in schedules per client (up to 10 on the Business package) — for example, a full Monday review, a mid-week nudge, a Friday calorie check, and a Sunday call reminder.


Step-by-Step Guide

  1. Go to the Check-in Schedules tab.

  2. Find the client you want to assign a template to.

  3. Click the + icon next to their name.

  4. A popup will appear — here you'll configure:

    • Template — select which check-in template to assign

    • Scheduling method — choose between Recurring or Calendar

    • Sender — choose who sends the message (AI sender, assigned coach, or a specific trainer)


Scheduling Methods

Recurring (Weekly / Bi-Weekly / Monthly)

Set a regular schedule that repeats automatically:

  • Weekly — sends every week on the selected day

  • Bi-Weekly — sends every 2 weeks (waits at least 14 days between sends)

  • Monthly — sends once a month on the selected day of the month (waits at least 30 days)

Choose the day and time to send. Times are based on your business timezone.

Calendar (Specific Dates)

Pick exact dates on a calendar for more control:

  • One-time — send on selected dates and then stop

  • Yearly — send on the same dates every year

This is great for seasonal campaigns, challenges, or special events.


Bulk Assignment & Deletion

  • Use the checkboxes to select multiple clients

  • Click Actions → Assign Template

  • Configure the schedule once — it applies to all selected clients

  • You can also delete templates in bulk the same way


Important Notes

  • Schedule limit per client. You can assign up to 4 check-in schedules per client (up to 10 on the Business package). If you need more, consider combining content into fewer templates.

  • Send times use your business timezone, not the client's timezone. Make sure your timezone is correct in Settings.

  • Clients need a messaging channel. The client must have a Trainerize message thread or Telegram group linked. If neither exists, the check-in will be skipped.
