How to Create Your First AI Check-In Template

Create your first AI Check-In template using real client data and smart placeholders — ready-to-copy format included.

AI Check-Ins are a game-changer — but they start with one key ingredient: your template. This guide walks you step-by-step through creating your first AI Check-In Template, including a ready-to-use template you can copy and customize.


Step-by-Step Setup

1. Go to AI Check-Ins

2. Click "New Template" (or Import Proven Templates)

You have two options:

  • New Template — create from scratch with a clear name (e.g., Full Feedback, Weekend Check-In)

  • Import Proven Templates — browse our library of pre-built, tested templates and import them instantly. Great if you want to get started fast.

3. Set Your Data Timeframe

For your first template, choose "Last Week". This will pull all metrics from the previous 7 days (Monday to Sunday).

Available timeframes:

  • This Week — Monday to yesterday (excludes today)

  • Last Week — previous full Monday to Sunday (recommended for Monday check-ins)

  • This Month — 1st of the month to yesterday

  • Last Month — entire previous month

4. Paste the Template Content

Use the rich text editor to compose your template. You can type normally and insert placeholders using the placeholder toolbar at the top, or type / to use slash commands to quickly insert placeholders.

Below is a full example you can use right away:

A Note on ##{{ai_coach_feedback}}

This is where the magic happens.

The ##{{ai_coach_feedback}} placeholder pulls real client data and generates personalized feedback in your own coaching voice. You can view and customize this under the AI Prompts tab.

We recommend starting by copying our default prompt, modifying it slightly to match your style, and testing it on a few clients.


Extra Tips

  • The placeholder ##{{ai_coach_feedback}} is powered by a custom AI Prompt you can configure inside the AI Prompts tab. You can also create additional custom AI prompts for different coaching styles.

  • You can duplicate our default prompt, tweak it, and test different versions.

  • If your client has a status set in the Compliance Tracker (e.g. vacation, sick, injury), the AI will adjust its tone and recommendations accordingly. For example, if a client is marked as injured, the AI won't ask them why they skipped workouts — it will suggest recovery advice instead. Keep the Compliance Tracker updated!

  • Use template folders to organize your templates by category (e.g., "Weekly Reviews", "Mid-Week", "Reminders").

Pro Tip

You don't need to start with 10 templates. One high-quality template like this one, scheduled on Mondays, will already save you hours of manual work — while delivering massive value to your clients.

When you're ready, head to Check-in Schedules to assign your template to clients.
