How to Manage AI Settings Per Client (Client Configuration)

Learn how to control AI Assistant behavior for each individual client — including Agentic Mode, office hours overrides, AI Macros, and custom notes.

Every client is different — and your AI Assistant should treat them that way. The Client Configuration tab lets you control exactly how the AI behaves for each individual client.


Where to Find Client Configuration

  1. Click Settings in the sidebar

  2. Select Client Configuration

You'll see a table listing all your clients with individual settings you can control.


What You Can Control Per Client

1. AI Assistant (Enable / Disable)

Toggle whether the AI Assistant responds to a specific client's messages. When disabled, the AI will never reply to that client — regardless of trigger phrases or other settings.

Available on all plans. Enabled by default for all clients when the global AI Assistant toggle is on.


2. Agentic Mode

Agentic Mode fundamentally changes how the AI responds to a client. When enabled:

  • Responds to every message — No trigger phrases needed. Every message from the client activates the AI.

  • Ignores trigger phrases — No need for "Hey coach" or other trigger words.

  • Ignores office hours — The AI responds 24/7, regardless of your configured office hours.

A confirmation dialog will appear before you enable Agentic Mode, clearly explaining what will change.

Recommendation: Only enable Agentic Mode for clients who need constant AI support. Consider starting with a trial period to monitor how it performs.

Requires the Business package.


3. Reply Outside Office Hours

Override the global office hours setting for a specific client. This gives you three options:

  • Inherit default — Uses your global office hours setting.

  • Allow outside hours — AI replies 24/7 for this client, even outside your configured office hours.

  • Require triggers — AI only responds during office hours for this client.

You'll see a badge showing whether the client is using the global default or has a custom override. Use the reset button to go back to the global default at any time.

Requires the Business package.


4. AI Macros

Enable automated nutrition macro adjustments for a client. When turned on, the AI will analyze the client's progress and automatically adjust their calorie and macronutrient targets on a schedule you define.

5. Custom Notes

Add specific instructions (up to 500 characters) that guide how the AI interacts with a particular client. These notes give the AI extra context about the client's preferences, sensitivities, or special requirements.

Examples:

  • "Client prefers technical explanations"

  • "Always be extra motivating"

  • "Sensitive about weight discussions"

Available on all plans.


Search and Filter Clients

Use the search bar at the top to find clients by name or email.

You can also use Smart View filtering to apply your saved table views. Select a Smart View from the dropdown to instantly filter the client list to a specific segment — making it easy to configure settings for a particular group of clients.


Bulk Actions

Select multiple clients using the checkboxes, and a bulk action bar will appear. You can:

  • Enable / Disable AI Assistant for all selected clients

  • Enable / Disable Agentic Mode for all selected clients (Business package)

  • Allow Outside Hours / Require Triggers / Reset Overrides for all selected clients (Business package)

This makes it easy to configure settings for large groups of clients at once, without adjusting each one individually.
