How to Set Up Office Hours in FitMetrics

Configure default and custom team office hours to control when the AI Assistant responds, when clients see your availability, and when team response metrics are tracked.

Office Hours let you define when your business is available. This affects your AI Assistant's availability schedule and when team response metrics are calculated. If no office hours are set, availability defaults to 24/7 (always-on).


Where to Find Office Hours


Setting Default Office Hours

Default office hours apply to all team members who are not part of a team with custom office hours.

Timezone

Office hours use your workspace timezone. The current timezone and local time are displayed at the top of the page. If you need to change the timezone, update it in Settings → Preferences.

Adding a Schedule

  1. Click Add hours

  2. Select a day type from the dropdown:

    • Every day — all 7 days

    • Weekdays — Monday through Friday

    • Weekends — Saturday and Sunday

    • Individual days — Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, or Sunday

  3. Set the start time and end time (available in 30-minute increments from 12:00 AM to 11:30 PM)

  4. Click Save in the top right

You can add multiple schedule rows for different days or time blocks. For example, you could set weekdays 9 AM–9 PM and weekends 10 AM–5 PM.


Schedule Rules and Validation

  • End time must be after start time — the system will reject invalid ranges

  • No overlapping schedules — if two schedules cover the same day and overlap in time, you'll see a conflict warning

  • Day type conflicts — selecting "Every day" prevents adding individual days or weekday/weekend groups, since they would overlap. Similarly, "Weekdays" conflicts with individual Monday–Friday entries

  • To remove a schedule row, click the trash icon next to it


How Office Hours Affect Your Business

  • AI Assistant: When office hours are set, the AI Assistant respects your availability schedule

  • Team response metrics: Response times are automatically calculated within office hours only — messages received outside hours don't count against your response time


Custom Team Office Hours (Business Package)

On the Business package, you can create teams with their own office hours that override the default schedule.

This is useful when you have coaches in different timezones or teams that work different shifts.

How to Set Up Custom Team Hours

  1. Scroll down to the Custom Team Office Hours section

  2. Create a new team and give it a name

  3. Add team members to the team

  4. Set the team's own office hours schedule (same day type and time options as the default)

Team members assigned to a custom team will use that team's hours instead of the default business hours.


What Happens with No Office Hours

If you don't set any office hours, your business operates in always-on mode (24/7). The AI Assistant will respond at any time and all messages count toward response metrics regardless of when they're received.
