How to Use Internal Coach Notes in Messages

Add private notes to any client conversation that only coaches can see — perfect for tracking coaching context, strategies, and observations.

Internal Coach Notes let you add private annotations to any client conversation in the Trainerize Messages page. Notes are visible only to coaches and team members within your business — your clients will never see them. Use notes to track coaching strategies, flag important observations, or leave handover context for other coaches on your team.


Switching to the Notes View

At the top of any client conversation, you will see a segmented toggle with options for Messages, Notes, Workout Comments, and Scheduled.

Click Notes to switch to the notes view. This displays all internal notes for the selected client, sorted from oldest to newest. The note count is shown in parentheses next to the tab label.

Notes are shared across all conversation threads for the same client. No matter which thread you are viewing, you will see the full set of notes for that client.


Adding a Note

There are two ways to switch the message composer into note mode:

Option 1 — Use the composer dropdown: In the message composer at the bottom of the conversation, click the Reply dropdown button (top-left of the composer). Select Note from the menu. The composer background will turn yellow to indicate you are in note mode.

Option 2 — Keyboard shortcut: Press N on your keyboard (when the composer is not focused) to switch to note mode. Press R to switch back to reply mode.

Once in note mode:

  1. Type your note in the text area.

  2. Optionally attach files (see below).

  3. Click Add note or press Cmd+Enter (Mac) / Ctrl+Enter (Windows) to save.

You can also use the AI Draft feature while in note mode — press Tab in an empty composer to generate a summary of recent conversation activity, which you can then edit before saving.


Attaching Files to Notes

You can attach files when creating a note or add them to an existing note later by editing it. Supported file types include:

  • Images — JPG, PNG, GIF, WebP

  • Documents — PDF, Word (.doc, .docx), Excel (.xls, .xlsx)

  • Audio — WebM, MP4, MP3, OGG (for voice notes)

The maximum file size per attachment is 10 MB. Attachments are automatically stored in a "Note Attachments" folder within the client's Documents tab, so you can access them from either location.

To attach a file, click the attachment icon in the composer while in note mode, or drag and drop a file into the composer area.


Editing and Deleting Notes

Editing a Note

Click the pencil icon on any note you created to enter edit mode. You can update the text, add new attachments, or remove existing attachments. Click the checkmark to save your changes, or the X to cancel.

Deleting a Note

Click the trash icon on any note you created to delete it. You can only edit or delete notes that you personally created — you cannot modify notes created by other coaches on your team.


Viewing Attachments

Image attachments display inline thumbnails. Click an image to open a full-size preview. For PDFs and documents, clicking the attachment opens it in a new browser tab.

Each attachment also has two hover actions:

  • Open in Documents — navigates to the client's Documents tab with the file selected.

  • Download — downloads the file to your computer.


Common Use Cases

Here are a few ways coaches use internal notes effectively:

  • Coaching strategies — Record planned adjustments to a client's program, such as "Increase volume next week if recovery scores stay above 70%."

  • Client observations — Note patterns you notice, like "Client tends to under-report meals on weekends" or "Responds best to direct feedback."

  • Handover notes — When another coach on your team needs to cover for you, leave context about where you left off and what to focus on.

  • Form submission links — Notes created from form submissions automatically link back to the original submission for easy reference.

  • Compliance tracking — Notes from weekly compliance reviews appear alongside your message notes, giving you a complete timeline of observations.
