How to View Client Messages and Conversation History

Learn how to access and manage client messages, switch between conversation threads, send replies, use message templates, and view internal notes from the client dashboard.

The Messages tab on the client dashboard gives you a full view of your conversation history with each client. You can read messages, reply directly, switch between threads, use templates, and even view internal notes — all without leaving FitMetrics.


Accessing Client Messages

  1. Click on a client's name to open their Client Dashboard.

  2. Select the Messages tab at the top of the dashboard.

FitMetrics automatically loads the client's most recent conversation thread. If the client has no threads yet, you will see a Start conversation button that syncs the client's threads from Trainerize.

Understanding the Messages Interface

The Messages tab is split into two main areas:

  • Thread Panel (left side) — Lists all conversation threads for the client. Each thread may correspond to a different trainer or group chat. Click any thread to switch to it.

  • Chat View (right side) — Displays the full message history for the selected thread, with the most recent messages at the bottom.

Sending Messages

At the bottom of the chat view, you will find the Message Composer. Here is how to send a message:

  1. Type your message in the text input field.

  2. Press Enter or click the send button.

  3. Your message appears instantly in the chat (optimistic sending) while it is delivered to Trainerize in the background.

Tip: Drafts are automatically saved as you type. If you switch threads or navigate away, your unsent message will be waiting for you when you return to that thread.

Switching Between Threads

Some clients may have multiple conversation threads — for example, one per trainer. To switch threads:

  1. Click the thread panel toggle to show the thread list if it is hidden.

  2. Click on any thread to load its conversation history.

FitMetrics automatically selects the client's assigned thread first. If there is no assigned thread, it picks the first thread that has messages.

Using Message Templates

To save time on common responses, you can use Message Templates:

  1. Click the template icon in the message composer area.

  2. The Template Manager opens where you can browse, create, and select saved templates.

  3. Select a template to insert it into your message, then send as usual.

Messages vs. Notes View

You can toggle between two view modes in the chat area:

  • Messages — Shows the actual conversation between you and the client.

  • Notes — Shows internal notes that are only visible to your team, not to the client.

Use Notes to leave observations, reminders, or coaching context for yourself or other coaches on your team.

File Sharing and Video Analysis

You can also send files through the message composer. After uploading a file, the message list and waiting badges automatically refresh. If a client sends a video, FitMetrics can perform video analysis and insert the results directly into your reply field for quick feedback.

Full-Screen Mode

For a distraction-free messaging experience, click the full-screen toggle in the chat header. This expands the conversation to fill your entire screen. Click the toggle again to return to the normal view.

Coach Access Restrictions

If your business has multiple coaches, thread access may be restricted. Coaches can only view and respond in threads where they are the assigned trainer. If you try to access a restricted thread, you will see a notification explaining that access is limited. Contact your business admin if you need access to additional threads.
