Using Notes and Updating Statuses

Track client context with statuses (including persistence and custom statuses), notes with pinning, and the Latest Status column in the Compliance Tracker.

Inside the Compliance Tracker, context is everything. It's not just about green, yellow, and red — it's also about understanding why a client may be off track. Statuses and notes give you that context, and the AI uses them to deliver smarter coaching.


Update Statuses for Context That Matters

Every week in the Weekly View, you can update a client's status with just one click. This is useful for tracking vacation, sickness, injuries, and anything else that affects a client's performance.

Default Statuses

FitMetrics includes the following built-in statuses:

  • Active — Client is actively training

  • Paused — Client has paused their program

  • Vacation — Client is on vacation

  • Business Trip — Client is traveling for work

  • Injury — Client is dealing with an injury

  • Sick — Client is unwell

  • Cancelling — Client is in the process of cancelling

  • Menstrual Cycle — Client is in their menstrual cycle phase

You can also create custom statuses with your own emoji and label — perfect for anything specific to your coaching style. Look for the Manage Statuses option in the status dropdown to add your own.

Why this matters:
These statuses show up on the progress chart, giving you full visibility into why numbers may have dropped — no guessing.


Status Persistence

When you set a status like Vacation, Sick, or Injury, FitMetrics can automatically carry that status forward into future weeks — so you don't have to update it manually every week.

When you change a client's status, a confirmation dialog will ask whether you want the status to persist across upcoming weeks or apply only to the current week. If you choose to persist, the status will automatically appear on each new week until you change it again.

This is especially useful for long-term situations like extended injuries, vacations, or program pauses where the status stays the same for multiple weeks.


Latest Status Column

The Latest Status column is a sticky column in the Compliance Tracker that always shows each client's most recent manually-set status at a glance — no scrolling needed.

This column is enabled by default. You can toggle it on or off from the tracker's column settings.


AI-Integrated: Smarter Check-Ins

When you mark a client as Sick, Vacation, or Injured, the AI check-in system adjusts its tone and avoids flagging expected drops in compliance. Notes you write are included in the AI's context when generating check-in messages, so the AI can reference specific coaching decisions or client situations.

  • If someone is on vacation, AI won't nag them about missed workouts.

  • If someone is injured, it will adjust tone and suggestions accordingly.

  • If someone's about to cancel, it'll raise a red flag so you can intervene.


Notes: Human Insights That Stay in Sync

Each week, you can add client notes directly into the Compliance Tracker. Notes give you a way to record context that isn't visible through metrics alone.

Notes Column

You can enable the Notes column in the tracker to see notes alongside your compliance data. Toggle it on from the column settings. When enabled, you'll see note indicators for each client and can click to expand.

Multiple Notes Per Week

You can add multiple notes per week for the same client. Each note is timestamped and attributed to the coach who wrote it — great for teams where multiple coaches interact with the same client.

Pin Important Notes

Need a note to stand out? Pin it. Pinned notes float to the top of the notes list so critical information is always visible first. Click the pin icon on any note to pin or unpin it.

Notes Detail Modal

Click on a client's notes to open the Notes Detail Modal — a full view of all notes for that client. From here you can add new notes, edit existing ones, attach files, and manage pins.

  • Notes are fully synced with the client's messages

  • The AI assistant reads them and considers them in feedback

  • Notes provide additional context that isn't visible via metrics alone

Statuses and notes help you manage the "why" behind the data. Update them regularly — not just for tracking, but to supercharge the AI coaching experience and improve your client care.
