How to Record Manual Payments for a Client

Record cash, check, bank transfer, and other offline payments that weren't processed through Stripe or Whop. View all payment sources in one place.

The Payments tab on the client dashboard shows all payment data from Stripe and Whop, plus lets you record manual payments for cash, checks, bank transfers, and other offline transactions.

Access: Business owners and admins can always see this tab. Coaches need the "Can see payments" permission enabled by the business owner.


Where to Find It

  1. Go to Trainerize Clients and open a client

  2. Click the Payments tab in the left sidebar


What You'll See

The tab shows a total combined spend across all sources (Stripe + Whop + Manual), followed by:

  • Active Subscriptions — from Stripe (plan name, amount, next payment date)

  • Stripe Payment History — all charges with date, amount, description, status

  • Whop Subscription & Payments — if Whop is connected

  • Manual Payments — payments you've recorded manually


Recording a Manual Payment

  1. Click + Add Manual (in the summary card header) or + Add Payment (in the Manual Payments section)

  2. Fill in the form:

Required — enter in dollars (e.g., 150.00)

Date

Required — defaults to today

Payment Method

Card, Cash, Check, Bank Transfer, or Other

Description

Optional — e.g., "Monthly coaching fee"

Notes

Optional — any additional details

  1. Click Add Payment

The payment appears immediately in the Manual Payments table and is included in the total spend calculation.


Deleting a Manual Payment

Click the trash icon on any manual payment row. A confirmation dialog appears before deletion. This action cannot be undone.

Note: Only manual payments can be deleted. Stripe and Whop payments are read-only and cannot be modified from FitMetrics.


Linking Stripe & Whop Customers

The Payments tab also lets you link multiple Stripe customers to this client:

  • Click + Link to search for a Stripe customer by name or email

  • Select the correct match — the link is permanent

  • Click X on a linked customer to unlink them

The same linking flow works for Whop members.

If the client's email matches a Stripe customer, the match happens automatically (shown as "Matched by email").
