The Onboarding Pipeline in FitMetrics is a visual dashboard that lets you and your team track where each client stands in your onboarding process. Instead of manually checking notes or scrolling through chats, this pipeline gives you a clear, stage-by-stage view for every new signup.
Each column is a stage, and each card is a client. You decide the stages β completely customizable.
For example, your stages might look like:

As clients move through your process, you simply drag and drop their card into the next stage. You'll also see exactly how many days ago they entered that stage β super useful to spot bottlenecks or delays.

How Stages Work
You can create up to 10 stages per business. This keeps your pipeline focused and manageable β no endless columns cluttering the board.
When a new client syncs from Trainerize, they're automatically placed into your first stage (the leftmost column). No manual work needed β every new signup lands right where they should.
If a client doesn't have a stage yet (for example, if they were added before you set up the pipeline), they'll automatically appear in your first stage column so you can easily spot them and move them to the correct stage.
Who Sees What
The pipeline respects your team's roles:
Owners and Admins see all clients across the board.
Coaches only see clients assigned to them.
This means each coach gets a clean, focused view of just their clients β no distractions from other caseloads.
Sorting & Filtering
Need to find specific clients quickly? The board supports:
Sorting by Joined Date or Days in Stage
Filtering by trainer
Filtering by Smart Views
These options make it easy to zero in on who needs attention right now.
Client Notes
You can add notes to any client directly from their card on the board β just click their name. Notes support file attachments and voice notes, so you can capture context quickly without leaving the pipeline.
Automation Integration
Stages work hand-in-hand with Automations. You can:
Trigger automations when a client enters a specific stage (e.g., send a welcome email when they hit "Questionnaire Sent").
Automatically move clients between stages based on automation rules β no manual dragging required.
