How to View and Manage Client Documents

Upload, organize, tag, and manage documents for each client — PDFs, images, spreadsheets, and text files with folder organization and tagging.

The Documents tab on the client dashboard lets you upload, organize, and manage files for each client — contracts, medical forms, meal plans, progress reports, and any other documents.

Important: Documents are coach-only — clients cannot see or access them. This is your private filing system for each client.


Where to Find It

  1. Go to Trainerize Clients and open a client

  2. Click the Documents tab in the left sidebar


Uploading Documents

  1. Click the Upload button (top right)

  2. Drag and drop files or click to browse

  3. If folders or tags exist, you can choose a destination folder and apply tags before uploading

Supported file types:

  • Images: JPG, PNG, GIF

  • Documents: PDF, DOC, DOCX, TXT, XLS, XLSX

Limits: 10MB per file, up to 10 files per upload.


Organizing with Folders

The left sidebar shows a folder tree. You can:

  • Create folders — click the folder+ icon

  • Create sub-folders — nested folder hierarchy

  • Drag and drop documents from the list onto a folder to move them

  • Rename and delete folders

Click All Documents to see everything regardless of folder.


Tagging Documents

Click the Tags button in the header to manage tags. Tags are color-coded and business-wide (shared across all clients).

Use tags for things like: "Contract", "Medical", "Meal Plan", "Assessment", etc.

Filter the document list by tag using the tag dropdown above the table.


Searching and Filtering

  • Search — search by filename, title, or description

  • Type filter — show only PDFs, Images, Documents, or Forms

  • Tag filter — show only documents with a specific tag

  • Sort — click column headers to sort by name, type, size, or date


Managing Documents

Click the three-dot menu on any document for:

  • Preview — view the document in a modal

  • Edit — change the title, description, and internal notes

  • Download — save to your computer

  • Delete — permanently remove (confirmation required)

Bulk Actions

Select multiple documents using checkboxes, then:

  • Download all selected

  • Delete all selected (confirmation required)
