Outdated & Expired Form Links: How They Work & How Clients Can Resubmit

Learn how FitMetrics detects outdated or expired form links, what clients see when a link is too old, the "Old Link" badge for coaches, and how clients can resubmit using the "Submit New One" button.

FitMetrics automatically detects when a client opens a form link that belongs to a previous week. This prevents outdated data from being recorded under the wrong week and keeps your reporting accurate. This article explains how outdated link detection works, what your clients see, and how you can manage submissions that came through old links.


What Is an Outdated Form Link?

Every form link sent to a client includes a week parameter that ties the submission to a specific week (e.g., ?week=2026-03-16). This is how FitMetrics knows which week the answers belong to.

A link is considered outdated when the week in the link is 2 or more weeks behind the current week. For example, if today is March 24 and the link references the week of March 9, that link is outdated because there is a 14+ day gap between the two Mondays.

A gap of less than 2 weeks is treated as a normal late submission, not an outdated link. This gives clients a reasonable grace period to submit forms after their scheduled week.


What Happens When a Client Opens an Outdated Link

FitMetrics checks two things when a client opens a form link:

  1. Is the link expired? — Is the week parameter 2+ weeks behind the current week?

  2. Has the client already submitted this form for that week?

Based on these checks, the client sees one of the following:

Link Expired (No Previous Submission)

If the link is 2+ weeks old and the client has not submitted the form for that week, they see a "This form link has expired" screen. The message tells them to use the latest link sent by their coach. They cannot submit through this link.

Already Submitted + Link Expired

If the client already submitted the form for that week and the link is also expired, they see an "Already Submitted" screen. Their previous answers are displayed so they can review what they submitted. No resubmit option is available because the link is expired.

Already Submitted + Link Still Valid

If the client already submitted the form for that week but the link is still within the 2-week window, they see the "Already Submitted" screen with their previous answers displayed. In this case, a "Submit New One" button appears, allowing them to resubmit. See the Resubmit section below for details.


The "Old Link" Badge

When a submission was made through an outdated link, FitMetrics flags it with an orange "Old Link" badge. This badge appears in three places:

  • Form Submissions Page — Next to each affected submission in the list. Navigate to AI Forms, select a form, and open the Submissions tab.

  • Client Detail View — In the client's form submissions section, next to the affected submission.

  • Compliance Tracker — On the weekly cell, the forms indicator shows a warning icon instead of the standard form icon when a submission used an outdated link.

Hovering over the badge shows a tooltip with the recorded week and the actual submission date, so you can see exactly how far off the timing was.


How to Reassign a Submission's Week

When a submission has the "Old Link" badge, a calendar icon button appears next to it. This lets you move the submission to the correct week.

  1. Find the submission with the "Old Link" badge (in the Form Submissions page or the Client Detail view).

  2. Click the calendar icon next to the badge.

  3. A "Reassign Week" dialog opens with a date picker. The date defaults to the week the submission was actually made.

  4. Select the correct week start date. The date will automatically be normalized to the Monday of that week.

  5. Click "Reassign" to save.

The submission's week is updated immediately. This moves the submission to the correct week in your compliance tracker and reporting.


How Clients Can Resubmit a Form

If a client has already submitted a form for a given week but needs to redo it, they can resubmit — as long as the form link has not expired.

When the "Submit New One" Button Appears

The button appears when both of these conditions are true:

  • The client has already submitted the form for the week in the link.

  • The link is less than 2 weeks old (not expired).

If the link is expired (2+ weeks old), the resubmit button does not appear. The client must use a current link from their coach.

What Happens When They Resubmit

  1. The client opens their form link and sees the "Already Submitted" screen with their previous answers.

  2. They click "Submit New One".

  3. The form reloads as a blank form, ready to be filled out again.

  4. They complete and submit the form as usual.

  5. The new submission is recorded as a separate entry for that same week.

The original submission is not deleted or overwritten. Both submissions will appear in your submissions list.
