How to Control Coach Access and Exclude Data from Team Performance

Control which coaches can view Team Performance, manage access toggles, and exclude specific coaches, clients, or tags from reports to keep your analytics clean.

Team Performance gives you detailed analytics on every coach in your business. This article covers how to control which coaches can see the Team Performance page, and how to exclude specific coaches, clients, or tags from your reports so your data stays clean and accurate.

Who Can Access Team Performance

Team Performance is available exclusively on the Business plan. If your business is on the Starter or Essential plan, you will see an upgrade prompt when you visit the page.

By default, only Owners and Admins can access Team Performance. Coaches do not have access unless you explicitly grant it (see below).

To visit Team Performance, go to Team Performance in your sidebar.


Controlling Coach Access

You can choose whether coaches on your team are allowed to view the Team Performance page. This is controlled by a simple toggle in your Team Members settings.

How to Enable or Disable Coach Access

1. Go to Team Members in your Settings.

2. Scroll down to the Coach Access Control section.

3. Find the toggle labeled "Allow coaches to see team performance".

4. Turn it on to let coaches view Team Performance, or off to hide it from them.

What Happens When Coach Access Is Disabled

When the toggle is turned off:

  • The Team Performance link is completely hidden from the sidebar for coaches.

  • If a coach tries to navigate directly to the Team Performance URL, they are automatically redirected to the Clients page.

  • Owners and Admins are not affected by this setting and always have full access.


Excluding Coaches from Reports

You can exclude specific coaches from Team Performance reports entirely. When a coach is excluded:

  • They will not appear as a coach card in the Performance tab.

  • All clients assigned to that coach are also removed from the data.

  • Team-wide averages and statistics will not include that coach or their clients.

This is useful for removing inactive coaches, test accounts, or coaches who are no longer part of your team but still appear in your Trainerize data.

Excluding Clients from Reports

You can also exclude specific clients from all Team Performance data. There are two ways clients can be excluded:

By Email Address

Individual clients can be excluded by their email address. Once excluded, that client will not count toward any coach's metrics, compliance rates, or team averages.

By Tag

You can exclude all clients who have a specific Trainerize tag. For example, if you tag demo accounts with a "Demo" tag, excluding that tag will remove all clients with that tag from your reports automatically.

What Exclusions Affect

Exclusions apply to the Performance Scores tab in Team Performance:

  • Excluded coaches and their clients are removed from performance scores, compliance rates, client success metrics, and weight tracking data.

  • Team-wide averages (Avg Team Score, Client Success Rate, Clients Managed) are recalculated without excluded data.

  • Excluded coaches will not appear in the Coach Performance Rankings list.

Note: The Messaging Analytics and Activity Log tabs currently show data for all team members regardless of exclusion settings.


Common Use Cases

Here are some common reasons to use exclusions:

  • Test accounts -- Exclude test or demo clients so they do not skew your compliance and performance data.

  • Demo coaches -- Remove demo or placeholder coach accounts that are not real team members.

  • Inactive coaches -- Exclude coaches who have left your team but still have clients assigned in Trainerize.

  • Internal staff -- Remove staff members who are registered as clients but are not actual coaching clients.

  • Seasonal clients -- Temporarily exclude clients who are on a break or paused program using tags.
