Message templates let you save your most-used messages and insert them into any conversation with a single click. Instead of typing the same check-in, reminder, or motivational message over and over, you create it once and reuse it whenever you need it. Templates also support variables that automatically fill in each client's name, so every message feels personal.
Opening the Quick Templates Popup
To access your templates while composing a message:
Go to the Trainerize Messages page and select a client conversation.
In the message composer toolbar at the bottom, click the bookmark icon.
The Quick Templates popup will appear, showing your saved templates.
If you have not created any templates yet, the popup will show a few example templates to give you an idea of how they work.
Inserting a Template into a Message
Once the Quick Templates popup is open:
Browse your templates or type in the search bar to filter by name or content.
Click on the template you want to use.
The template text will be inserted into the message composer, with any variables automatically replaced with the client's actual name.
Edit the text if needed, then send the message as usual.
Your most frequently used templates appear at the top under Frequently used, so your go-to messages are always within reach.
Creating a New Template
To create a template, open the Template Manager:
Open the Quick Templates popup by clicking the bookmark icon in the composer.
Click the Manage button in the top-right corner of the popup.
The Template Manager will open. Click New Template.
Fill in the following fields:
Template Name — A short, descriptive title (e.g., "Workout Reminder" or "Weekly Check-in").
Category — Choose a category to keep your templates organized (see below).
Message Content — The actual message text. You can include variables that will be replaced with the client's name when you use the template.
A Live Preview appears below the content field so you can see exactly how the message will look.
Click Create Template to save it.
You can create multiple templates in a row without closing the Template Manager.
Template Categories
Every template belongs to a category. Categories help you stay organized, especially as your template library grows. The available categories are:
General — For everyday messages that do not fit a specific category.
Motivation — Encouraging messages to keep clients on track.
Reminders — Reminders about workouts, appointments, or tasks.
Check-ins — Regular check-in messages to see how clients are doing.
Tips — Helpful advice and coaching tips.
Nutrition — Messages related to diet and meal plans.
Workout — Messages about training sessions and exercise.
In the Template Manager, your templates are grouped by category so you can find them quickly.
Using Variables
Variables are placeholders that get automatically replaced with the client's real name when you insert a template. This means you write the template once, and it personalizes itself for every client.
The available variables are:
{client_first_name} — Replaced with the client's first name (e.g., "Sarah").
{client_name} — Replaced with the client's full name (e.g., "Sarah Johnson").
Example: If your template says:
"Hi {client_first_name}! Just checking in — how are you feeling after yesterday's workout?"
When you use it for a client named Sarah, it will appear as:
"Hi Sarah! Just checking in — how are you feeling after yesterday's workout?"
Editing and Deleting Templates
To edit a template:
Open the Template Manager (bookmark icon, then Manage).
Click on the template you want to edit in the left panel.
Update the name, category, or message content in the right panel.
Click Update Template to save your changes.
To delete a template:
Open the Template Manager.
Find the template in the left panel.
Click the trash icon next to the template name.
The template will be removed immediately.
Keyboard Navigation
The Quick Templates popup supports full keyboard navigation for faster workflow:
Arrow Up / Arrow Down — Move through the template list.
Enter — Insert the currently highlighted template.
Escape — Close the popup.
Type in the search bar — Filter templates instantly as you type.
When creating or editing a template in the Template Manager, press Cmd+Enter (Mac) or Ctrl+Enter (Windows) to save the template without clicking the button.
Tips for Getting the Most Out of Templates
Start with your most common messages. Think about the messages you send most often and create templates for those first.
Use clear template names. A name like "Monday Check-in" is easier to find than "Template 1."
Use categories. Organizing templates by category makes them easier to find as your library grows.
Always use variables. Adding {client_first_name} makes every message feel personal without any extra effort.
Edit before sending if needed. Templates are a starting point — you can always customize the message before hitting send.
