How to Customize Portal Email Templates

Customize the emails your Blood Test Portal sends to clients — invitation, welcome, password reset, appointment confirmation, and test results emails with a rich editor and placeholders.

FitMetrics sends emails to your Blood Test Portal clients for invitations, welcomes, password resets, and more. You can fully customize every email template with your own text, branding, and layout.

Business package required.


Where to Find It

Go to Settings → Email Templates and click the Email Templates tab.


Available Templates

Select the template type from the dropdown:

Template

When It's Sent

Client Invite

When you add a client to the portal

Welcome

After client creates their account

Team Invite

When inviting a team member

Password Reset

When a client requests a password reset

Appointment

Confirming a booked appointment

Test Results

When new blood test results are available


Editing a Template

  1. Select the template type

  2. Edit the Subject line

  3. Edit the Body using the rich editor (supports text blocks, buttons, and callout sections)

  4. Click Save Template

Placeholders

Use double curly braces to insert dynamic content that gets replaced when the email is sent:

  • ##{{name}} — client's name

  • ##{{businessName}} — your business name

  • ##{{loginUrl}} — link to the portal login page

  • ##{{resetLink}} — password reset link (required in Password Reset template)

  • ##{{inviterName}} — who sent the invitation

Different templates have different available placeholders — the editor shows which ones are available for the selected template.


Testing Emails

Before saving, test how the email looks:

  1. Enter a test email address in the field below the editor

  2. Click Send Test

  3. Check your inbox — the email is sent with sample data replacing the placeholders


Resetting a Template

Click Reset to discard unsaved changes and reload the last saved version.


SMTP Configuration

By default, emails are sent from FitMetrics. To send from your own domain (e.g., [email protected]), switch to the SMTP Configuration tab and configure your custom SMTP server. This makes emails appear more professional and branded.
