AI Check-In Message Sender Settings

Change who sends AI Check-In messages (AI Message Sender, assigned coach, or specific trainer) and understand why the default AI sender prevents missed client replies.

You can customize who the message appears to be sent from when FitMetrics delivers automated AI Check-Ins. However, it's important to understand how this affects your unread message notifications.


Where to Change the Message Sender

To change the sender on any AI Check-In schedule:

  1. Choose a client

  2. Add or edit a template schedule

  3. In the schedule form, you will see a field labeled Message Sender

  4. Choose your sender option:

    • AI Message Sender (default) — messages appear from the AI account

    • Assigned Coach — messages appear from the client's assigned trainer

    • Specific Trainer — choose a specific trainer from your team


Why We Recommend Keeping the AI Message Sender

Even though you can choose another sender, we strongly recommend keeping AI Message Sender as the default.

Here's why:

FitMetrics only clears the "Unread Message" / "Waiting for Reply" indicator when a real human replies.

If you change the sender to the assigned coach (or any human):

  • The system will think the coach replied

  • The "waiting for reply" notification will disappear

  • But the coach never actually replied

Example (the exact problem):

  1. A client sends you a message expecting a reply

  2. Later, an AI Check-In goes out using the coach as the sender

  3. FitMetrics thinks the coach answered the client

  4. The notification disappears

  5. You may miss important client messages

This is the main reason we do NOT recommend changing the sender.

Keeping the sender as AI Message Sender prevents this issue entirely and keeps your unread-message notifications accurate.


How to Bulk Change the Message Sender

If you still want to change the sender, you can update multiple clients at once:

  1. Select multiple clients using the checkboxes

  2. Click Bulk Operations

  3. Select Change Message Sender

  4. Choose which templates you want to modify

  5. Select the new sender

  6. Click Update Settings

This updates all selected clients at once.


When Changing the Sender Makes Sense

You may want to change the sender when:

  • You run a program where every message must appear human

  • You have a dedicated coach per client and want consistency

  • You understand and accept the risk of missing unread replies

  • Your team already checks all threads daily (no reliance on notifications)

As long as you're aware of the trade-off, this feature can be used strategically.
