How to Create Tasks

Learn how to create tasks in FitMetrics — use AI to generate tasks from client messages, or manually create them from the Tasks page.

FitMetrics gives you two ways to create tasks: generate one instantly with AI from a client message, or create one manually from the Tasks page. Here's how both methods work.


Method 1: Create an AI Task from a Client Message

When reading through client messages, you can instantly turn any client message into a task with AI-generated details.

  1. Go to Trainerize Messages in the left sidebar.

  2. Find a client message you want to turn into a task. (This only works on messages sent by the client, not coach messages.)

  3. Right-click the message.

  4. Click Create AI Task (sparkle icon).

  5. AI analyzes the message and generates a title, description, and suggested priority.

  6. A Create Task dialog opens, pre-filled with the AI-generated content. The client is auto-linked and the coach is auto-assigned based on the Trainerize trainer assignment.

  7. Edit any field before submitting if needed.

  8. Click Create Task to save.


Method 2: Create a Task Manually from the Tasks Page

You can also create tasks directly from the Tasks page without needing a client message.

  1. Go to Tasks in the left sidebar.

  2. Click the New Task button (top-right, with a + icon).

  3. Fill in the task details (see form fields below).

  4. Click Create Task to save.


Task Form Fields

Both creation methods open the same Create Task dialog with these fields:

  • Title — Required. Max 200 characters.

  • Description — Optional. Auto-expanding text area for task details.

  • Client — Optional. Searchable dropdown showing active, non-trial clients with avatars.

  • Assignee — Optional. Shows team members with avatars. Auto-selects the assigned coach when you pick a client.

  • Due Date — Optional. Date picker that prevents selecting past dates. Week starts on Monday.

  • Priority — Low, Medium, or High. Defaults to Medium.

  • Google Calendar — If Google Calendar is connected and a due date is set, a toggle appears to add the task to Google Calendar with optional start and end times.

All new tasks start with the status To Do. You can change the status later from the task detail panel or the board view.


Where Tasks Appear After Creation

All tasks appear on the Tasks page. You can view them in three layouts:

  • Board — Kanban-style columns (default view).

  • List — Table layout with sorting and filtering.

  • Calendar — Calendar view based on due dates.

Each task displays: title, assignee, client, status (defaults to "To Do"), priority, due date, and duration.


Tasks is available exclusively on the Business package. If you are on the Essential or Starter plan, upgrade to Business to unlock Tasks and all its features.
