How to View, Edit, and Track Tasks

Learn how to view, edit, delete, and track tasks in FitMetrics using Board, List, and Calendar views. Manage subtasks, comments, attachments, and collaborators from the Task Detail Panel.

Tasks in FitMetrics help you and your team stay organized by tracking to-dos, follow-ups, and client work in one place. This guide covers the three task views, filtering, editing, deleting, and the full Task Detail Panel.


Three Ways to View Your Tasks

Use the view toggle at the top of the Tasks page to switch between Board, List, and Calendar views.

Board View (Default)

Board view displays your tasks as a Kanban board with three columns: To Do, In Progress, and Completed.

  • Drag and drop task cards between columns to change their status instantly

  • Each card shows the task title, priority badge, assignee avatar, client name, and due date

  • Meta badges on each card show subtask progress (e.g. 2/3), comment count, attachment count, and collaborator avatars

List View

List view displays your tasks in a full data table with sortable columns.

  • Columns include: Task title, Assignee, Client, Status, Priority, Due Date, Duration, Created, and Actions

  • Click any column header to sort

  • Use the row density selector to adjust row height (short, medium, tall, or extra-tall)

Calendar View

Calendar view plots your tasks and Google Calendar events by date.

  • Switch between monthly, weekly, and daily views

  • Click any day to quickly create a new task or calendar event for that date


Filters and Search

Use the controls at the top of the Tasks page to narrow down what you see.

  • Quick filter tabs: Active (default — shows To Do + In Progress), To Do, In Progress, Completed

  • Assignee filter: Choose All Teammates, My Tasks, Unassigned, or a specific team member

  • Search bar: Search tasks by title or description


Edit a Task

There are two ways to edit a task:

  1. Quick inline edit — Click any task to open the Task Detail Panel. From there you can change the Status, Priority, Assignee, Client, and Due Date directly.

  2. Full edit dialog — Click the three-dot menu (⋯) on a task and select "Edit Task". This opens a dialog where you can update the Title, Description, Client, Assignee, Priority, and Due Date.


Delete a Task

  1. Click the three-dot menu (⋯) on the task you want to remove

  2. Select "Delete Task"

  3. Confirm the deletion in the confirmation dialog

If the task has a linked Google Calendar event, that event will be deleted automatically as well.


Task Detail Panel

Click any task to open the Task Detail Panel on the right side of the screen. This is your central hub for everything related to a task.

Task Info

The top of the panel shows the task title, description, status, priority, assignee, client, due date, and created date. You can edit these fields inline.

Comments

  • Add text comments to discuss the task with your team

  • Attach files directly to comments

  • Record voice note comments (up to 5 minutes)

  • @mention team members to notify them

Attachments

  • Upload files up to 10 MB each

  • Supported formats include images, PDFs, documents, and spreadsheets

  • Download or delete attachments at any time

Subtasks

  • Break a task into smaller subtasks (child tasks)

  • Toggle each subtask as complete or incomplete

  • Delete subtasks you no longer need

  • Subtask progress is shown on board cards (e.g. "2/3")

Collaborators

  • Add or remove team members as collaborators for extra visibility on the task

  • Collaborator avatars appear on board cards so you can see at a glance who is involved


Track Progress

FitMetrics gives you several ways to stay on top of your team's workload:

  • Status filters let you quickly see what is pending versus done

  • The Duration column in List view shows how long each task has been open

  • Board view gives a visual overview of workflow progress across columns

  • Calendar view shows how deadlines are distributed over time

  • Subtask progress badges on board cards (e.g. "2/3 done") help you see partial completion at a glance


Access Control for Coaches

  • Owners and Admins can see all tasks in the business

  • Restricted coaches can only see tasks they created, tasks assigned to them, or tasks they collaborate on


Tasks is available on the Business package. To upgrade your plan, visit Settings → Billing.
