Task Comments, Subtasks, Attachments & Collaboration

Add comments, voice notes, attachments, subtasks, and collaborators to tasks. Keep your team aligned with everything in one place.

Every task in FitMetrics can hold comments, voice notes, file attachments, subtasks, and collaborators — so your entire team stays aligned without leaving the platform. This guide covers each feature and how to use it.


Open the Task Detail Panel

To access comments, attachments, subtasks, and collaborators, you first need to open the task detail panel.

  1. Go to Tasks.

  2. Click on any task from List, Board, or Calendar view.

  3. A side panel opens with the full task details, including sections for comments, attachments, subtasks, and collaborators.


Comments

Comments let you discuss a task with your team directly inside the task detail panel.

Post a Text Comment

  1. Open a task.

  2. Type your message in the comment input field at the bottom of the panel.

  3. Press Enter or click the send button.

Each comment shows the author's avatar, name, timestamp, and content.

Attach a File to a Comment

  1. Click the paperclip icon next to the comment input field.

  2. Select a file from your device.

  3. The file is attached to your comment when you send it.

Record a Voice Note

  1. Click the microphone icon next to the comment input field.

  2. Record your message (up to 5 minutes).

  3. Voice notes are automatically transcribed, so your team can read them too.

@Mention Team Members

  1. Type @ followed by a team member's name in your comment.

  2. A dropdown appears — select the person you want to tag.

  3. The tagged team member receives a notification about the mention.

Delete a Comment

Only the comment creator can delete their own comments. Other team members cannot remove comments they did not write.


Attachments

You can upload files directly to a task, separate from comment attachments. This is useful for reference documents, images, or spreadsheets related to the task.

Upload an Attachment

  1. Open a task.

  2. Click the attachment/paperclip area in the task detail panel.

  3. Select a file from your device.

Supported Files

  • Images (PNG, JPG, etc.)

  • PDFs

  • Documents (Word, etc.)

  • Spreadsheets (Excel, CSV, etc.)

  • Max file size: 10 MB per file

Manage Attachments

Each attachment displays the file name, file type icon, and file size. You can download or delete attachments. Only the original uploader can delete their own attachments.


Subtasks

Subtasks let you break a large task into smaller, actionable steps.

Create a Subtask

  1. Open a task.

  2. Click Add subtask in the task detail panel.

  3. Enter a title and press Enter or click the add button.

Complete and Delete Subtasks

  • Each subtask has its own checkbox — click it to mark the subtask as complete.

  • You can delete subtasks you no longer need.

Subtask progress is displayed on the parent task card in Board view (e.g., "2/3" with a checklist icon).


Collaborators

Collaborators are team members who have visibility into a task, even if they are not the assignee.

Add a Collaborator

  1. Open a task.

  2. Click the + button in the collaborators section of the task detail panel.

  3. Select a team member from the list.

Remove a Collaborator

Hover over a collaborator's avatar and click the X to remove them from the task.

Why Collaborators Matter

Restricted coaches can only see tasks they created, are assigned to, or collaborate on. Adding a restricted coach as a collaborator ensures they have access to the task.

Collaborator avatars are also shown on task cards in Board view.


Board View Badges

On the Kanban board, each task card shows small badges at the bottom so you can see activity at a glance:

  • Subtask progress — e.g., "2/3" (turns green when all subtasks are complete)

  • Comment count — total number of comments

  • Attachment count — total number of attachments

  • Collaborator avatars — team members involved

These badges help you quickly identify which tasks have active discussion, files, or team involvement without opening each one.


Tasks is available exclusively on the Business package. If you are on the Essential or Starter plan, upgrade to Business to unlock Tasks and all its features.
