Sorting, Filtering & Smart Views on the Onboarding Board

Sort clients by joined date or days in stage, filter by trainer, and apply Smart Views to focus your Onboarding pipeline.

The Onboarding board comes with built-in sorting, filtering, and Smart View tools right in the header. These let you quickly find the clients you need, spot bottlenecks, and stay on top of your pipeline.


Sorting Your Clients

Use the Sort dropdown in the board header to choose how clients are ordered within each stage.

You have two sort options:

  • Joined Date — Sorts clients by when they joined your business. Useful for seeing your newest or longest-standing clients first.

  • Days in Stage — Sorts clients by how long they've been sitting in their current stage. This is great for spotting clients who may be stuck or need attention.

Sort Direction

Next to the sort dropdown, you'll see a direction toggle button (↑ or ↓). Click it to switch between:

  • Ascending (↑) — Lowest values first

  • Descending (↓) — Highest values first

Tip: Set the sort to Days in Stage with Descending order to see clients who have been stuck the longest at the top. This is one of the fastest ways to spot bottlenecks in your onboarding flow.


Filtering by Trainer

The Trainer dropdown in the header lets you narrow down the board to a specific coach's clients.

  • All Trainers (default) — Shows clients from every coach in your business.

  • Select a trainer — Pick a specific coach to see only their assigned clients on the board.

This is especially helpful when you manage a team and want to review a particular coach's onboarding progress without the noise of everyone else's clients.


Using Smart Views on the Board

You can apply any of your saved Smart Views directly on the Onboarding board using the Smart View dropdown in the header.

  • When you select a Smart View, the board filters down to only show clients matching that view's criteria.

  • The client count in the header updates automatically to reflect the filtered total.

  • Smart Views can filter by tags, activity, compliance, and more — whatever you've configured on the Trainerize Clients page.

To clear the filter, simply set the Smart View dropdown back to its default (no selection).


What Each Role Sees

Visibility on the Onboarding board depends on your role:

  • Owners and Admins — See all active clients across the entire business. Use the Trainer filter to narrow down to a specific coach.

  • Coaches — Only see clients assigned to you by default, so the board is already focused on your caseload.


A Note on Client Exclusions

The Onboarding board also respects any client exclusions configured in your business settings. This means certain clients may not appear on the board if:

  • Their assigned coach has been excluded

  • Their email has been individually excluded

  • They have a Trainerize tag that has been excluded

These exclusions are managed in your business settings, not on the Onboarding page itself. If a client you expect to see is missing, check your exclusion settings.
